Health And Safety Policy
Gardeners Ratcliff Health and Safety Policy
Gardeners Ratcliff is committed to maintaining the highest standards of health and safety for our employees, clients, visitors and members of the public who may be affected by our gardening activities. This policy sets out our approach to managing risks, preventing accidents and promoting a safe and healthy working environment across all garden and grounds maintenance services.
Policy Objectives
The primary objectives of this Health and Safety Policy are to prevent injury and ill health, comply with all relevant health and safety legislation, manage risks associated with gardening activities and promote a culture of safety awareness and responsibility. We integrate health and safety considerations into the planning and delivery of all our services, including routine garden maintenance, soft landscaping, hedge cutting, lawn care and seasonal work.
Management Responsibilities
The management of Gardeners Ratcliff has overall responsibility for health and safety within the company. Management will ensure that adequate resources are provided to implement this policy, that safe systems of work are developed and maintained, that staff receive appropriate information, instruction, training and supervision and that health and safety performance is regularly monitored and reviewed.
Managers and supervisors must lead by example, promote safe working practices, enforce the use of personal protective equipment and promptly address any health and safety concerns raised by employees or clients. They are responsible for ensuring that risk assessments are carried out, documented where appropriate, and that control measures are implemented and maintained.
Employee Responsibilities
All employees of Gardeners Ratcliff have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions. Employees must follow all safety instructions, use tools and machinery correctly, wear the appropriate protective equipment provided and report any hazards, near misses, accidents or unsafe conditions without delay.
Employees are expected to cooperate fully with management in the implementation of this policy, attend any required health and safety training and refrain from any behaviour that could compromise safety, including the misuse of equipment or working under the influence of alcohol or drugs.
Risk Assessment and Safe Working Practices
Before commencing gardening work, suitable and proportionate risk assessments are carried out to identify potential hazards and evaluate the risks. Control measures are then implemented to reduce risks to an acceptable level. These may include the selection of suitable equipment, restrictions on certain activities, use of protective clothing, or adjustments to methods of work.
Typical hazards that are assessed include the use of powered garden machinery, manual handling of soil, plants, waste and equipment, slips, trips and falls, working at height for hedge trimming or tree-related tasks, exposure to noise, vibration and dust and contact with hazardous substances such as fuels, oils, pesticides or fertilisers.
Safe systems of work are developed for routine tasks and are reviewed regularly, especially when new equipment, substances or techniques are introduced, or when work is carried out in new or unusual garden environments.
Equipment, Tools and Machinery
Gardeners Ratcliff ensures that all tools, equipment and machinery used in our gardening services are suitable for their intended purpose, properly maintained and inspected at appropriate intervals. Defective equipment is taken out of service immediately and repaired or replaced as necessary.
Only trained and competent staff are permitted to operate powered equipment such as lawn mowers, hedge trimmers, strimmers, leaf blowers and similar machinery. Manufacturer instructions and safety guidelines are followed at all times, and guards, safety devices and emergency stops are never removed or bypassed.
Personal Protective Equipment
Where risks cannot be adequately controlled by other means, suitable personal protective equipment is provided to employees at no cost. This may include safety boots, gloves, eye and hearing protection, high-visibility clothing, respiratory protection and protective clothing for chemical handling.
Employees must use the protective equipment as instructed, keep it in good condition and report any loss or damage so that it can be replaced promptly.
Manual Handling and Physical Wellbeing
Gardening work often involves lifting, carrying and moving loads such as soil bags, plant containers, tools and green waste. Gardeners Ratcliff aims to reduce manual handling risks by planning tasks carefully, using mechanical aids where feasible and avoiding unnecessary lifting.
Staff receive guidance on good manual handling techniques, including safe lifting, carrying and loading practices, and are encouraged to work within their physical limits. Team lifting is used for heavy or awkward items, and rest breaks are taken as required to prevent fatigue and strain.
Chemicals, Substances and Environmental Hazards
When using garden chemicals such as weed killers, fertilisers or treatments, Gardeners Ratcliff follows product safety data and any applicable regulations. Only authorised and trained staff may handle or apply these substances. Containers are clearly labelled, stored securely and transported safely, and measures are taken to avoid contamination of surrounding areas.
Care is taken to protect wildlife, pets and members of the public when working with substances or equipment that could pose a risk. Where necessary, areas may be cordoned off or clearly identified until work is complete and safe.
Public and Client Safety
Health and safety considerations extend to clients, visitors and members of the public in and around the gardens where we work. Work areas are organised to minimise disruption, trip hazards and obstructions. Cables, hoses and tools are managed carefully, and signage or barriers may be used where there is a risk of contact with ongoing work.
Vehicles used for transporting staff, tools and materials are operated safely, parked considerately and loaded securely to avoid risks during transit and at client premises.
Training, Information and Supervision
Gardeners Ratcliff provides training and information appropriate to the roles and responsibilities of each employee. This includes induction training, task-specific guidance and refresher sessions as needed. Employees are made aware of the hazards associated with their work and the control measures in place.
Supervision levels are appropriate to the experience and competence of staff, particularly for new employees or when carrying out higher-risk activities. Additional support and oversight are provided where needed to ensure tasks are completed safely.
Accidents, Incidents and Emergency Procedures
All accidents, injuries, near misses and dangerous occurrences are reported and recorded in accordance with internal procedures. Where necessary, these are reviewed to identify root causes and prevent recurrence. First aid provisions are available, and staff know how to access assistance in the event of an emergency.
Emergency procedures include arrangements for dealing with injuries on site, equipment failures, fires, chemical spillages and severe weather events. Staff are briefed on the relevant procedures for the environments in which they are working.
Monitoring, Review and Continuous Improvement
Gardeners Ratcliff regularly reviews health and safety performance, incident reports and working practices to ensure this policy remains effective and relevant. Adjustments are made where necessary to improve safety standards, respond to changing circumstances and incorporate best practice.
This Health and Safety Policy is communicated to all employees and is available to clients upon request. It is reviewed periodically and revised as required to reflect any changes in legislation, guidance or the nature of our gardening services.
